What Assets does

Inventory with QR code
Every asset gets a QR code that you print out and attach to the device. Scan it with the mobile app and you immediately see master data, location, last maintenance, warranty and owner. New assets are captured with a photo and a quick drag-and-drop of the purchase receipt and delivery note, and OCR extracts the manufacturer, model, serial number and purchase price for you. Bulk import via CSV for migrating from Excel lists is included at onboarding. You can print QR labels on DIN-A4 sheets with standard labels, or choose a weatherproof outdoor variant for construction site tools. Each label size is configurable, and the code contains the asset ID and a direct URL. Even without the mobile app you can scan the code with your smartphone camera, and a browser login shows you the most important asset data.
Maintenance planning with reminders
For each asset you store maintenance intervals based on time (every six months), operating hours or counter reading. DARION-AI creates maintenance jobs automatically, assigns them to the responsible technician and sends a reminder in good time before the deadline, typically two weeks beforehand by email and push. Maintenance protocols are documented right at the job, and you attach photos and measurements as you go. Mandatory inspections like DGUV V3 or UVV are flagged separately, so they are never overlooked. Recurring maintenance checklists can be saved as templates that the technician ticks off on-site on the tablet. If a maintenance date is missed, the escalation goes automatically to the responsible person. External maintenance providers get magic-link access just for their jobs, without needing their own DARION-AI account.
AI helper for maintenance suggestions
The AI helper analyses your maintenance history, failure patterns and manufacturer recommendations and suggests preventive maintenance before devices fail. For recurring defects it marks assets that are approaching the economic limit, meaning a repair would cost more than a replacement. It is Qwen3-based and self-hosted in the EU, with no data outflow to third countries, and it learns from your confirmations and corrections over time. For assets with remote monitoring (connected machine sensors, for example) it recognises anomalies like rising vibration values or temperature drift early and suggests an inspection. You retain decision authority at all times: the helper makes suggestions, never automatic orders or jobs. And at the press of a button it explains why it made a suggestion, for example which maintenance history and which failure patterns led to the recommendation.
Location and ownership tracking
Each asset has a current location (workshop, construction site, office) and an owner. When an asset moves, the employee simply scans the QR code and chooses the new location, and the history is documented automatically. For tools on construction sites you can see right away who has which device and when it comes back. For inventory you export the target-actual comparison per location in two clicks, with missing assets marked directly. Location hierarchies (location > hall > area > shelf) can be mapped flexibly. Geo-coordinates for construction sites or outdoor locations are captured automatically with the scan, provided the mobile app has GPS access. And for tool checkouts and returns per employee, DARION-AI documents the time, so accountability for damage or loss remains traceable.
Depreciation and asset register
DARION-AI calculates linear or declining-balance depreciation, stores the useful life per asset class and creates the asset register for the annual financial statements automatically. Special depreciation, write-ups and asset disposals are documented directly at the asset. The export runs GoBD-compliant to DATEV or other accounting systems, so your tax advisor gets a clean asset register without any Excel craftwork. Depreciation tables come pre-set for the most common asset classes (IT 3 years, office furniture 13 years, machines depending on type), and you can create your own classes with individual useful lives. Low-value assets (GWG) and immediate depreciation are correctly distinguished and shown cleanly in the register. For asset disposals (sale, scrapping, theft) DARION-AI calculates the residual book value and passes the correct journal-entry suggestion automatically into the finance module.
Lifecycle documentation
From the purchase receipt through commissioning, maintenance, repairs and location changes all the way to scrapping: the complete history of an asset sits right at the asset. Warranty documents, manuals and inspection protocols are attached as PDFs. At sale or scrapping you document the residual value, buyer and disposal certificate traceably in the audit trail. For insurance you export a complete asset list with current values, serial numbers and locations. In case of theft or loss you document the police report and insurance correspondence directly at the asset, so nothing gets lost in the mailbox and everything is findable at the document. Even after an asset is disposed of, its historical file remains archived for ten years, so you can access the documents at any time for later warranty or guarantee questions.

You need an overview of your asset stock for insurance, auditors and investment planning. The dashboard of the assets module shows you book value, remaining useful life and upcoming investments per asset class. The AI helper marks assets that are approaching the economic limit, meaning a repair would cost more than a replacement. For the annual inventory you export the asset register with target-actual deviations per location, and your tax advisor gets everything GoBD-compliant. At insurance renewal you export a complete list with current values and serial numbers. For investment planning you can see which assets should be replaced in the next twelve months, based on remaining useful life and maintenance effort. Theft and loss are captured cleanly for the insurance too, including the police case number and damage correspondence, all archived traceably.
Team lead
As workshop or IT lead you steer maintenance and availability. The maintenance calendar shows you upcoming maintenance, mandatory inspections like DGUV V3 and repairs per technician. For critical assets you can activate availability notifications: as soon as the status switches to defective, you get a notification immediately. For tools on construction sites you see who has which device, so lost tools are noticed faster. Supplier complaints in warranty cases are documented directly at the asset, with the correspondence attached to the document. For quarterly reviews you export an evaluation with maintenance ratio, downtime and repair costs per asset class. External maintenance providers get magic-link access just for their jobs, so you don't have to assign an external account or maintain permissions separately.
Employee
You're a technician working with the mobile app. When you scan a QR code you see the asset history, upcoming maintenance and open tickets. Maintenance protocols are filled in directly at the device, and you attach photos as you go. For defects you create a ticket in two clicks, and the order workflow for spare parts runs straight from the app into the procurement module. When an asset changes location you scan the code and choose the new location, and DARION-AI writes the history automatically. You work through maintenance checklists on the tablet, ticking off every item with a time stamp and your name, so there are no paper lists and no transcribing into the system afterwards. If the app is offline (in the boiler room without reception, for example), capture continues locally and syncs as soon as the connection returns. And for recurring defects you see the repair history of the asset at a glance and decide whether to plan a larger maintenance or propose the asset for retirement.
