Module 11 of 16

Warehouse management without clipboards and Excel lists

Capture goods receipts via barcode scan, run stocktakes with the smartphone and see every storage location in real time. GDPR-compliant, EU-hosted in Nuremberg — with an AI helper that suggests minimum stock levels and triggers orders before you have a stock-out. 49 euros per user per month all-in, no per-module licence fees.

What Warehouse does

Barcode and QR scan via smartphone and industrial scanner
Every employee scans with the smartphone — no additional hardware scanner needed for most use cases. Barcodes (EAN-13, EAN-8, Code128, Code39, ITF-14) and QR codes are recognised in under one second, even in poor lighting in the warehouse. Goods receipt, transfer and goods issue you capture directly at the shelf — the data is in the system immediately. Offline mode for halls without WiFi: data is buffered and synchronised when the connection comes back. Own label printing directly from the module via Brother, Zebra or Dymo printers. Industrial handheld scanners (Zebra TC21, Honeywell EDA52) integrate directly via Bluetooth or USB-OTG, recommended for high-load warehouses with over 1,000 scans per day.
Inventory management with real-time quantities and multi-warehouse setup
Per item you see stock, reserved quantity, free quantity and storage location live. Movements are documented with time stamp, user and source — audit trail for auditors and tax advisors according to GoBD. Minimum and maximum stock you define per item or per storage location, the AI helper suggests them based on historical consumption and seasonality. On underrun a notification comes, optionally also a directly automated purchase requisition to the supplier. Multi-warehouse setup for branches, outdoor warehouses, consignment warehouses or construction site warehouses included by default. Warehouse value is calculated daily by FIFO, LIFO or average price method — important for the balance sheet and the valuation by the tax advisor.
Stocktaking with mobile app and difference analysis
Stocktaking mode you start in the module, the smartphone becomes the inventory device. Employees scan article labels or QR codes at the shelf, enter counted quantity, the system compares live with book stock and shows differences immediately. Multiple stocktake rounds in parallel possible (e.g. hall A and hall B simultaneously by different teams). Sample stocktaking, perpetual stocktaking and key-date stocktaking are pre-configured as workflows. Stocktake report with difference analysis and journal-entry suggestions for accounting you export as PDF or DATEV-CSV. The AI helper suggests possible causes for large differences — theft, shrinkage, booking error or messy master data — based on historical patterns.
Storage location management with heatmap and pick optimisation
You define storage locations hierarchically — hall, aisle, shelf, compartment. Each location gets a QR code, each item is mapped to exactly one storage location (or several, with quantities per location). The warehouse heatmap shows which items are moved often — fast movers land at the front, slow movers at the back. The pick list optimises the routes through the warehouse by shortest distance, the AI helper takes into account stock weight and bulky-goods positions. For transfers you scan source and target storage location, the booking runs automatically. For warehouse re-sorting, the AI helper gives suggestions which items to re-shelf — typically you save 15-20 percent pick time per order after reorganisation.
Goods receipt and goods issue documented with shipping connection
Supplier scans the delivery note barcode or you photograph it — OCR extracts supplier, order number, items and quantities. Target-actual comparison with the order runs automatically, deviations you mark directly at goods receipt and trigger a complaint to the supplier. Goods issues are created with delivery note and optional shipping label (DHL, UPS, GLS, DPD, Hermes). Tracking numbers are stored automatically in the CRM order and customer portal — customers get tracking mails without your intervention. GoBD-compliant document archiving with hash checksum in the DMS module. Returns workflow is pre-configured by default with photo documentation of damage.
AI helper for order suggestions and reach analysis
The AI helper (Mistral, EU-hosted) analyses your consumption of the last 12 months, takes into account seasonality, delivery time and minimum stock and suggests concrete orders daily. Per item you see the recommended quantity, estimated reach and supplier price. With one click you take over the suggestion into an order that goes directly to the supplier via email or EDI. For critical bottlenecks (reach below 5 days) you get a push notification — before the stock-out happens and orders fail. Sensitive data does not leave the EU, the AI helper trains exclusively on your anonymised movement data — multi-tenant isolation via Row-Level Security.

Who uses this module

CEO
As CEO you need to know the warehouse value monthly — for the balance sheet, the bank and the tax advisor. In the warehouse module you see warehouse value, inventory turnover and stock reach live. Slow-moving items with over 12 months lying time the AI helper shows you on request — you decide whether to write them off or sell them off. Quarterly report for the bank you export as PDF with warehouse value trend, stocktake differences and seasonal patterns — cleanly documented and audit-grade. For a tax audit, the inspector gets a time-limited read-only access to the warehouse audit, all bookings are GoBD-compliant unchangeable archived. Liquidity planning automatically takes planned orders into account.
Team lead
As warehouse lead you coordinate five warehouse workers across two locations. In the module you see per employee open tasks, pick lists and goods receipts in progress. When a critical delivery is delayed, you get a notification — and can proactively inform sales before the customer asks. Stocktake dates you plan in the calendar, pick list optimisation runs automatically, you don't have to draw routes through the warehouse yourself. Performance evaluation per employee (picks per hour, error rate, movement trend) shows you who needs training. Maintenance plans for forklifts and conveyors trigger tickets to the IT module automatically.
Employee
You're a warehouse worker, a delivery comes in. You scan the delivery note barcode, the system shows you the order and target quantities. You scan each carton individually, enter the quantity, the system books in directly. When a carton is damaged, you photograph the damage, attach the photo to the goods receipt — the complaint to the supplier runs automatically with photo and damage description. Pick lists come in the morning to your smartphone, you walk the optimised route and scan every picked item. For conflict (item not found) you note this in the smartphone, the warehouse lead is informed immediately and the order doesn't get stuck.
