What Warehouse does
Barcode and QR scan via smartphone and industrial scanner
Every employee scans with the smartphone, so for most use cases no additional hardware scanner is needed. Barcodes (EAN-13, EAN-8, Code128, Code39, ITF-14) and QR codes are recognised in under one second, even in poor warehouse lighting. Goods receipt, transfers and goods issue are captured directly at the shelf, and the data lands in the system immediately. An offline mode covers halls without WiFi: data is buffered and synchronised as soon as the connection comes back. You can also print your own labels directly from the module on Brother, Zebra or Dymo printers. Industrial handheld scanners such as the Zebra TC21 or Honeywell EDA52 connect directly via Bluetooth or USB-OTG, which we recommend for high-load warehouses with more than 1,000 scans per day.
Inventory management with real-time quantities and multi-warehouse setup
For every item you see stock, reserved quantity, free quantity and storage location live. Each movement is documented with time stamp, user and source, which gives auditors and tax advisors a GoBD-compliant audit trail. You define minimum and maximum stock per item or per storage location, and the AI helper suggests sensible values based on historical consumption and seasonality. If stock falls below the minimum, you get a notification and, if you want, an automated purchase requisition goes straight to the supplier. A multi-warehouse setup for branches, outdoor warehouses, consignment warehouses or construction site warehouses is included by default. The warehouse value is calculated daily using the FIFO, LIFO or average price method, which matters for the balance sheet and for the valuation by your tax advisor.
Stocktaking with mobile app and difference analysis
You start stocktaking mode in the module and the smartphone becomes your inventory device. Employees scan article labels or QR codes at the shelf and enter the counted quantity, while the system compares live with the book stock and shows differences immediately. Several stocktake rounds can run in parallel, for example hall A and hall B at the same time with different teams. Sample stocktaking, perpetual stocktaking and key-date stocktaking come pre-configured as workflows. The stocktake report with difference analysis and journal-entry suggestions for accounting can be exported as PDF or DATEV-CSV. And for large differences the AI helper suggests possible causes, such as theft, shrinkage, booking errors or messy master data, based on historical patterns.
Storage location management with heatmap and pick optimisation
You define storage locations hierarchically: hall, aisle, shelf, compartment. Each location gets a QR code, and each item is mapped to exactly one storage location, or to several with quantities per location. The warehouse heatmap shows which items move often, so fast movers end up at the front and slow movers at the back. The pick list optimises routes through the warehouse by shortest distance, and the AI helper also takes stock weight and bulky-goods positions into account. For transfers you simply scan the source and target storage location, and the booking runs automatically. When you re-sort the warehouse, the AI helper suggests which items to re-shelf; after a reorganisation you typically save 15-20 percent pick time per order.
Goods receipt and goods issue documented with shipping connection
When a supplier delivers, you scan the delivery note barcode or simply photograph it, and OCR extracts the supplier, order number, items and quantities. The target-actual comparison with the order runs automatically; deviations are marked directly at goods receipt and trigger a complaint to the supplier. Goods issues are created with a delivery note and, if you like, a shipping label for DHL, UPS, GLS, DPD or Hermes. Tracking numbers are stored automatically in the CRM order and the customer portal, so customers receive their tracking mails without any work on your side. Documents are archived GoBD-compliant with hash checksums in the DMS module, and a returns workflow with photo documentation of damage is pre-configured by default.
AI helper for order suggestions and reach analysis
The AI helper (Qwen3, self-hosted in the EU) analyses your consumption over the last 12 months, takes seasonality, delivery time and minimum stock into account and suggests concrete orders every day. For each item you see the recommended quantity, the estimated reach and the supplier price. With one click you turn the suggestion into an order that goes directly to the supplier via email or EDI. For critical bottlenecks, meaning a reach below 5 days, you get a push notification before the stock-out happens and orders start to fail. Sensitive data never leaves the EU, and the AI helper trains exclusively on your anonymised movement data, with multi-tenant isolation via Row-Level Security.
Who uses this module
CEO
As CEO you need to know the warehouse value every month, for the balance sheet, the bank and the tax advisor. In the warehouse module you see warehouse value, inventory turnover and stock reach live. On request the AI helper shows you slow-moving items with more than 12 months lying time, and you decide whether to write them off or sell them off. The quarterly report for the bank can be exported as PDF with the warehouse value trend, stocktake differences and seasonal patterns, cleanly documented and audit-grade. For a tax audit the inspector gets time-limited read-only access to the warehouse audit, and all bookings are archived GoBD-compliant and unchangeable. Liquidity planning automatically takes planned orders into account.
Team lead
As warehouse lead you coordinate five warehouse workers across two locations. In the module you see open tasks, pick lists and goods receipts in progress for each employee. When a critical delivery is delayed, you get a notification and can inform sales proactively before the customer asks. Stocktake dates go into the calendar, pick list optimisation runs automatically, and you no longer have to draw routes through the warehouse yourself. The performance evaluation per employee, with picks per hour, error rate and movement trend, shows you who needs training. And maintenance plans for forklifts and conveyors automatically trigger tickets to the IT module.
Employee
You're a warehouse worker and a delivery comes in. You scan the delivery note barcode, and the system shows you the order and the target quantities. You scan each carton individually, enter the quantity, and the system books it in directly. If a carton is damaged, you photograph the damage and attach the photo to the goods receipt; the complaint to the supplier then runs automatically with photo and damage description. Pick lists arrive on your smartphone in the morning, you walk the optimised route and scan every picked item. If there is a conflict, for example an item that cannot be found, you note it on the smartphone, the warehouse lead is informed immediately and the order doesn't get stuck.
